Process

Process

After your report is received, we may contact you via the email address on file if we need more information. If you left contact details, we may reach out during the review. If a matter is found not to be substantiated or not within scope, we may close it and inform you where appropriate. Cases typically move through intake review, preliminary review, full review, and closure, with a target of about three months; complex or external matters may take longer. We may close matters that do not meet investigation criteria and explain why. Closed cases may be reopened when there is good cause.

1. Intake review

We check whether the matter is in scope, confirm receipt where applicable, and explain the next steps within the communicated timeframe.

2. Preliminary review

We gather relevant information and perform initial fact-finding; we may request additional documents or clarification.

3. Full review

Where needed, we conduct interviews, analyse evidence, and involve relevant functions.

4. Closure

We decide on appropriate measures and communicate outcomes to those who need to know, subject to confidentiality.

Protection of reporters

  1. ① We do not tolerate retaliation against anyone who reports in good faith through proper channels.
  2. ② If you believe you suffered retaliation, you may ask the responsible team for protection and corrective action; we act promptly to limit harm.
  3. ③ Your identity and the report are not disclosed externally without your consent, subject to law; we apply strict confidentiality controls.
  4. ④ People who cooperate in an investigation (statements, documents) receive a similar level of protection.
  5. ⑤ Even where misconduct occurred, voluntary disclosure may be considered under internal policies when determining accountability.
